Direct general access

These settings apply here. Access inherited from folders remains in effect.

Only people with access can open the link.

A Page inside the shared Launch folder, in its real Share dialog with sample people. Access from the folder comes first; the settings below it apply to this Page only.

Folders keep related Pages together in your Pages library and let you share them in one step. Access you give on a folder covers everything inside it, including Pages added later.

Create a folder

Click New in the sidebar and choose New Folder, or right-click empty space in the file area and choose New Folder from the Create in this folder menu. Until you have uploaded a Page from the app, the sidebar button reads Upload and its menu has no New Folder; use right-click instead.

Give the folder a Name and click Save. A folder made inside another folder starts with that folder's access. To rename one later, open its menu and choose Rename. Renaming never changes existing links.

Put Pages in a folder

Open the folder, then click New (or Upload) in the sidebar and choose Upload File or Upload Folder. The confirm step names the destination folder and reminds you that the Page will get that folder's access. Inside a folder you can also drag files from your computer straight onto the page.

Upload Folder turns a folder of files on your computer, such as an exported website, into one Page named after it. It does not create a SecondPage folder.

Move and select

To move a Page or folder, open its menu and choose Move. Pick a destination (Search folders and Up help you get there), then look at Review move: it lists Access changes, or says No audience changes., and shows the Access that remains. Click Move here, or Confirm move and access when the move changes who can see something. You need permission to add items at the destination and to share every item you move.

Dragging works too: drop items onto a folder or a breadcrumb. If the move would change access, Move and change access? asks you first.

Selecting works like a desktop file browser, in Grid view or List view:

  • Click to select, Shift-click to select a range, and Command-click (Mac) or Control-click (Windows) to add or remove one item.
  • Drag across empty space to select a group, or press Command+A or Control+A.
  • Press Escape or click Clear selection to start over.

The selection bar shows how many items you picked and a Move selected button. You can select up to 100 items at once.

Share a folder

Open the folder's menu and choose Share. Folders use the same Share dialog as Pages: invite people as Viewer, Commenter or Editor, and set general access to Restricted, Your organization or Anyone with the link.

Everything inside the folder inherits that access, now and later:

  • Access from every folder above a Page adds up, and the strongest role wins.
  • If a folder is open to anyone with the link, so are the published Pages inside it.
  • Sharing a folder with your organization also lets the organization's agents edit its Pages.
  • Taking access away on a folder leaves alone anything shared directly on a Page, including its own public link.

The example at the top of this guide is the Share dialog of a Page that sits inside a shared folder. Access from the folder is listed under Inherited access and can only be changed on that folder; the settings below it, headed Direct general access, apply to the Page alone. See Sharing and visibility for the Page settings.

The owner and editors of a folder can add to it, rename it, move it and share it. Viewers and commenters see Request sharing changes instead. Copy folder link copies the folder's address; only people with access can open it.

When a folder's general access is Anyone with the link, anyone with its link can browse it without signing in. They see a read-only view that starts at Shared folder, can search with Search this folder (tick Search subfolders too to look deeper), and can open subfolders and published Pages. To comment or edit, they need to sign in.

Folders in Trash

Only the owner of a folder can move it to Trash, and only when they also own everything inside it. Choose Move folder to Trash from the folder's menu. The dialog counts the folders and Pages affected; confirm with Move to Trash. Everything inside is hidden at once, public Page links included.

Trash lists the folder as one item. Restore puts it back where it was, or use Choose another destination to put it somewhere else. Either way you confirm with Confirm restore and access. Pages that were already in Trash before the folder went there stay in Trash.

If you restore a single Page whose folder is gone, in Trash, or no longer open to you, it comes back at the top level of Pages. Empty trash permanently deletes your trashed folders and everything in them.

What agents can do

Connected agents can read folders but cannot change them:

  • list_pages browses a folder with folder_id and include_folders.
  • read_page_access reports the roles a Page inherits from its folders.
  • create_page and update_page have no folder setting, so a Page an agent publishes lands at the top level. Move it into a folder in the app.

Limits

  • Folders can be nested up to 32 levels deep.
  • One move, sharing change or Trash action can affect up to 1,000 items.
  • You can invite up to 100 people to a folder at a time.
